Overview

The "Go Live" Process for Community Colleges requires a coordinated effort between the campuses, the NCCS System Office, and CFNC.

 

The annual application changes include:

  • System-wide (template-level) changes to the application
  • Campus-level changes to the application (approved by System Office)
  • Colleague changes, and
  • CrossRoute changes

NOTE: FOR 2025, THERE ARE NO COLLEAGUE/CROSSROUTE CHANGES. 

 

**Change for 2025**

 

Because of the coordination between the entities, as well as bandwidth, "Go Live" is scheduled on a rolling basis. **Day-Of Workflow still applies**

As soon as CFNC receives the approval from the App UAT, they will schedule the date to Go Live for that app. 

 

Timeline

Targeted Go Live for 2025 is around the last week of April.

Day-Of Workflow

The actual time of the work varies depending on the bandwidth, but the workflow process is the same. Please see below for the workflow and send any questions to Breé at cfnc-campus@northcarolina.edu

Step #1: Pre-Launch

Before the Day-Of Go Live, please do the following:

Admissions Director 

  • Make sure you know these details from xconnect.cfnc.org: Username and Password
  • Make sure you know these details from cfnc.org: your Test Student Username and Password

Step #2: Application Updated

CFNC developers will update your application in PROD and do a round of QA testing. If you have terms open in PROD, those applications will be impacted immediately. 

  • Please note that during the time period while we are updating a college’s application:
    Students who are actively working on an application for the school will be able to continue working without impact; applications auto-save every 5 minutes and when that auto-save occurs, the application will be updated with the new questions, which the student will be required to answer before s/he can submit the application. The same sequence will occur if the student clicks the “Save” button while filling out the application.
  • Students who have previously saved the application but not submitted it and who later return to the application also will see the new questions and be required to answer them before they can submit the application.
  • Students who are actively working on their application at the time we update it and who have completed it and click to “Submit” without clicking “Save,” or prior to the auto-save, will submit an application without the new questions. This is likely to be a very small number of students for any given college.

Step #3: CFNC Sends College Update on App Status 

Breé will send an email to the college campus stating when the Application is updated in PROD and ready for the campus to proceed with the additional steps.

Step #4: Application Review

Admissions Director should follow the Annual App Launch Checklist (attached). Also, please ensure that the following are correct in CrossConnect PROD and edit if they are not: 

Step #5: Daily Status Update Sent by CFNC

Breé will send a daily status update to System Office. In this email, she will confirm which applications have been updated that day.

Step #6 (Optional): Non-Colleague Exports Updated 

Admissions Director may update any non-Colleague exports or request edits from CFNC. Keep in mind - the turnaround time for export edits from CFNC will be about 4 weeks, due to other applications that must launch.
