Overview

Each CrossConnect user account is connected to a specific organization. This connection allows for tiered permissions within CrossConnect. 

When a new CrossConnect account is created, by default, no permissions or access are granted. The permissions must be granted manually by either a CFNC admin (Breé) or the organization administrator (*Note: Community Colleges must use Breé). 

Permissions/Access are essentially granted by combining two aspects: the permission level and the activity typeBoth will be reviewed in this article.

Permission Level

Due to the sensitive information within CrossConnect, the permission levels are tiered. Meaning, that they work so a user can have access to a very specific subset of data or the entire organization data.

The Permissions work in a General-to-Narrow way (like a funnel). See Diagram 1.

  • Institutional Level - this refers to all applications attached to the Institution (called "organization")
  • Grade Level - this refers to all applications attached to that specific grade level or program level
  • Application Level - this refers to only that specific application

For many institutions, there may be only one application connected to a grade level. In that case, the difference between assigning permissions at grade level vs application level may be negligible. So to demonstrate the differences between the tiers in a practical way, I've created an example of an institution with 8 applications, which are connected to 4 grade levels. See Diagram 2.

Let's see some permission configurations possible with this example. Keep in mind that for grade and application levels, several mix-and-match can be used

 

Example 1 - Institutional Access

Sally has access to everything on the Institutional level - all 8 applications, all 4 grade levels and any future applications connected to this organization

Example 2 - Grade Level for one grade 

Graduate Grade Level - which includes the Graduate School and MBA applications and any future applications connected to this grade level

Example 3 - Application Level only

Readmit Application Level - only has access to this application; must be manually added to others in the future

Example 4 - Mixed grade level and application level

Career and College Promise Grade Level  - which includes the CCP and CIHS applications and any future applications connected to this grade level

Career and College Readiness application - only this application

In addition to Permission Level, access within CrossConnect is also set by Activity Type. See the list below, which are grouped in categories.

Keep in mind that for grade and application levels, several mix-and-match permissions by Activity Type can be used. There are several types of combinations. Below are a few examples: 

Example A - Institutional Access to all Activity Types

Sally has access to every Activity Type on the Institutional level - all activity types, all 8 applications, all 4 grade levels and any future applications connected to this organization

Example B - Grade Level Access to all Activity Types

Graduate Grade Level - all activity types on the Graduate School and MBA applications and any future applications connected to this grade level

Example C - Application Level Access to all Activity Types

Readmit Application Level - all activity types but only on this application; must be manually added to others in the future

Example D - Grade Level Access to selected Activity Types and Application Level Access to other Activity Types

Graduate Grade Level - View Reports, View User Applications, Export User Applications, Export Transcripts on the Graduate School and MBA applications and any future applications connected to this grade level

MBA Application Level - Create/Edit User Application Exports and Create/Edit Transcript Exports - only can do these activities on this application; must be manually added to others in the future
