Editing and Managing Recruitment Exports

  • To edit an existing Export Setting, double-click on the setting you wish to edit or click the setting and then the Edit () button
    • Click the Save () button to save any edits you make
    • Or click the Cancel () button to undo any edits you make
  • To delete an existing Export Setting, click on the setting you wish to delete and then click the Delete () button

Note: If you delete an Export Setting, you will be asked to confirm, since once deleted the setting cannot be restored.

 

Recruitment | Export Projects

  • To edit an existing Export Project, double-click on the project you wish to edit or click the project and then the Edit () button
    • Click the Save () button to save any edits you make
    • Or click the Cancel () button to undo any edits you make
  • To delete an existing Export Project, click on the project you wish to delete and then click the Delete () button

Note: If you delete an Export Project, you will be asked to confirm, since once deleted the project cannot be restored.

  • If you make a change to an Export Setting that is currently added to an Export Project, you will need to edit the Export Project, remove the setting, and then add it back to the Export Project. This will ensure that your updated Export Setting is being used in your Export Project:
  1. After making and saving changes to your Export Setting, navigate to Export Projects (Recruitment | Export Projects)
  2. Select the Export Project that contains the Export Setting you just made changes to
  3. Click the Edit () button
  4. On the right side of the screen under Export Settings click the “X” () in the upper right corner of the Export Setting you edited to delete it from the Export Project
  5. Click the + Add Settings button () to open the Add Export Setting window
  6. In the Add Export Setting window, click the Plus icon () next to the Export Setting that you edited, so the updated version will be added to your Export Project
  7. Click the Save button at the bottom of the window
  8. Click the Save button () at the top of the screen to save your Export Project

 

 

Common Recruitment Export Actions

Flat File Recruitment Example – One Excel File

You want to download recruitment data, with all open prospects in one tab delimited .xls (Excel) file called “All CFNC Open Prospects” with the download date and time. You want the zip folder to be called the same thing. You want headers in the exported file. You only want to download prospects received after 01/01/2016 and you want data from all prospect sources:

  1. Click on Recruitment | Export Settings
  2. Click the “+ New” button
  3. Select “Flat File” from the Export Type dropdown menu
  4. Enter a Name for the export setting of “All CFNC Open Prospects”
  5. Enter a File Name of “All CFNC Open Prospects”
  6. Enter a Single File Name of “All CFNC Open Prospects {MM-dd-yyyy hh_mm_ss}”
  7. Leave the Separator field blank
  8. Select all three of choices under Options (“Use Tab Separator” , “Wrap Values in Quotes” and “Include Header Row”)
  9. Click the Fields tab
  10. Expand the Standard Fields section using the “” icon to see the fields you can include (if you’ve selected CRP or TAAP you will also see the Dynamic Fields section)
  11. Click the checkbox next to the fields you want to include
  12. Click the “Add Fields” button to move selected fields into your export setting
  13. Click Save
  14. Click on Recruitment | Export Projects
  15. Click on the “+ New” button
  16. Enter a Name for the export project of “All CFNC Open Prospects”
  17. Leave the Rule field blank
  18. Leave the Source field blank (since you want prospect data from all sources)
  19. Enter a File Name of “All CFNC Open Prospects { MM-dd-yyyy hh_mm_ss }
  20. Enter a Folder Name of “All CFNC Open Prospects “
  21. Enter a number for your Maximum Applications to Download
  22. Enter 01/01/2016 for the New Prospect Cutoff Date field
  23. Select the Option of Combine Export Setting Into One File (leave other options blank)
  24. Click the “+ Add Settings” button
  25. Click the “+” next to your export setting of “All CFNC Open Prospects”
  26. Click Save in Add Export Setting window
  27. Click Save
  28. Click on Recruitment | Export Projects
  29. Click on the Export () icon
  30. Click the Export button
