Batch Transcript Exports (Re: Export only the students you specify)

Don’t forget that you have the ability to upload a file to CrossConnect and download a batch of up to 250 transcripts that match the information in the file. Follow these steps to utilize this option:
  1. Create a spreadsheet(s) with the appropriate information for the records you’d like to retrieve, up to 250 records per csv file (sample file attached).
    1. NOTE: Studentid refers to the NC ID
  2. In CrossConnect, navigate to Transcripts > Export Projects.
  3. (optional) If you’d like to export only final transcripts, double click on the Export Project Name. You’ll see a screen with details about the export, including “transcript type.” Please select “Final” and click Save.
  4. Click on the green Export icon to the left of the Export Project name.
  5. Click the “Browse” button next to Batch Export. Find the spreadsheet you created. I highly recommend you select “First row contains a header.”
  6. Click Export.
  7. Repeat steps 4-5 as many times as necessary, until all spreadsheets have been batch exported. Please note: If you are downloading more than 50 transcripts in PDF format it will then queue the download and send an email when the file is ready.
  8. If you did Step #3, you will need to revert the settings so you can accept Current transcripts again. Double click on the Export Project Name. Under “transcript type,” select “Both” and click Save.
  9. You’re done in CrossConnect!
  10. Please proceed to upload the export files into your SIS.

Troubleshooting Tips

If you are using Batch Export and not matching with a student…

  • There could be a name discrepancy between what is in your system and what is on the transcript. Please confirm the name.
  • There could be a typo in the NC Student Number. Please confirm the NC Student Number
  • The high school may not participate in electronic transcripts through CFNC. Please confirm the High School Participation by referring to the CFNC.org webpage.
